Travel FPG Program

The funding of expenses to travel for the purpose of attending a conference, workshop, etc. is under the jurisdiction of each campus faculty travel committee.

The Faculty Association negotiates for Faculty Professional Growth funds a portion of which is designated for travel expenses. Each college selects their faculty travel committee and committee chair according to their own agreed upon system. District Faculty Professional Growth funds are apportioned to each college by a formula based on full-time teaching equivalents (FTTE), and each campus travel committee determines how to allot its portion to its faculty applicants. Funds are available on a fiscal year basis July 1 to June 30.

Who is eligible to apply?

Travel committees make available their policies/procedures and forms to residential faculty members. All residential faculty, with the exception of those on sabbatical leaves or professional unpaid leaves of absence, are eligible to apply for travel funds. (See RFP Section A.4.7.5)

What expenses are eligible for reimbursement?

Although the travel committees on each campus are autonomous, they all must follow the general policies created by the District Business Services travel guidelines that are based upon the state of Arizona guidelines. Eligible expenses cover transportation, lodging, meals and some other related expenses. Limits to these expenses are set by Governing Board action and may be changed at the beginning of each fiscal year. For more information, consult the District Travel Policies.

What about the cost of registration?

Registration fees greater than $30 are eligible to be paid by the district- wide FPG registration fees budget. Conference and workshop registration fees are applied for through your FPG representative to the Registration Fee/Summer Project sub-committee of FPG. FPG funds do not pay for additional registration fees identified as late fees, or for membership fees or journals.

What paperwork is required?

Your college may have specific requirements and forms, but all faculty prior to traveling, all faculty must submit a MCCD travel request form for all travel related to their campus responsibilities. The approved travel request form authorizes your travel. Each college determines its required documentation and has a specific procedure for routing the travel requests among its responsible agents. Once approved for your travel is approved your absence is considered an absence for official college business and pay for your substitute, if needed comes from a general college budget.

How do I get my money?

The college fiscal agent and /or District Business Services will only reimburse claims for travel for which they have an approved Travel Request Form. Submit a Travel Expense Claim Form A along with all required receipts within 30 business days after completing your travel. See Expense Claim Form A for details. If you have been approved for registration fees, claim this expense on the same form. Submit these claims to the college fiscal agent, or other campus-designated agent, not to the FPG committee or the district Business Services office.

May I obtain an advance on my travel funds?

In some situations this can be done, but you must consult the college travel policy on your campus.
